About The Director, PMO role


 As an essential part of the Operations team at INVIVO, the Director, PMO will oversee the project management function. He or she will manage and lead a team of Program & Project Managers. It is the Director, PMO’s role to communicate a clear vision of the PMO function, and drive a strategic project methodology as well as effective project delivery along with project prioritization and program management. As a leader, you will support the project management team to achieve their goals and create a project environment that enables peak performance for all PM’s.

Primary Responsibilities  

  • Responsible for establishing, standardizing and leading project management practices for multiple initiatives across the organization.
  • Plan, implement and continuously improve project management best practices to streamline project processes and procedures and maximize operational effectiveness.
  • Develop new project management processes and procedures for new and emerging areas of business
  • Manage a team of program & project managers. Update staffing plans and lead performance management process.  Provide organization with leadership, direction, and  coaching to achieve work objectives and improve program/project manager’s performance and skills
  • Provide regular visibility to project status (key decisions, dependencies, issues, risks, metrics) on a standard cadence through status reporting and project reviews
  • Escalate issues and risks to senior management and provide proactive solutions to address
  • Establish and monitor KPI’s to inform decisions that maximize returns across projects.
  • Improve and maintain effective communications plan to ensure frequent, accurate, and timely communication to all stakeholders
  • Make recommendations to continually strengthen and improve the PMO
  • Identify and assess gaps specific to the project management team’s ability to delivery seamless project management and provide tools and training to fill gaps
  • Roll up sleeves when necessary to manage projects as needed and provide strong oversight on technically complex projects or new types of projects
  • Effectively prioritize project deliverables & assignments with input from senior management
  • Working closely with the Client Services team understand and communicate client business needs to the internal project management team
  • Communicate effectively both internally and externally to set and manage expectations
  • Delegate tasks and responsibilities to the project managers in support of multidisciplinary production teams including UX, Graphic Design, Animation, Software Development, and Quality Assurance
  • Enforce project schedules ensuring deadlines and launch dates are met
  • Provide oversight to proactively manage changes in project scope, identify potential risks, and devise contingency plans
  • Track, prioritize, manage and report issues related to any given project
  • Host project retrospective meetings to gather key learnings after completion of projects
  • Work closely with INVIVO functional leads, communicate with clients and teams on an ongoing basis to ensure changing resource and project requirements are documented, understood, and clearly presented
  • Provide a point of escalation for internal and external issues and work with internal and external stakeholders to address project issues


Capability Requirements – education, skills & experience


  • Proven success in the strategy, planning, and implementation of client facing digital projects
  • 10+ years of program/project management experience in an interactive agency (or equal) setting preferred
  • Experience in healthcare, science or pharmaceutical sectors preferred
  • Minimum of 3 years experience managing and leading others
  • Experience in technical project delivery including a deep understanding of SDLC, e-Learning, mobile apps, VR & AR programs and 3D animation
  • Working towards/completion of PMP preferred but not required
  • A track record of delivering on time and on budget while maintaining client and team relationships
  • Knowledge of project management tools, best practices and processes
  • Experience working with project management software, including MS Project, and task management software
  • Ability to quickly adapt to and learn new technologies and environments
  • Outstanding meeting and time management skills
  • Proven track record in managing several competing priorities to correctly identify and prioritize critical organizational or program/project tasks
  • Excellent conflict resolution skills, and proven ability to negotiate a positive outcome for all parties
